Making the Most of AI in Webex – 5 Ways to Boost Collaboration

Digital collaboration is now a central component of modern working environments. Platforms such as Cisco Webex offer a wide range of features, with new ones being added all the time, to ease the workload on teams, structure meetings and make processes more efficient.

However, in day-to-day work and in conversations with customers, it is clear that many of these AI features are not widely known and their potential is underestimated. There is also often a lack of understanding of how they can be meaningfully integrated into existing workflows. We, too, are constantly reviewing how we can further develop the AI Assistant in a way that adds value, to make processes more efficient.

The added value does not come from the mere availability of AI features, but from their targeted and structured use in day-to-day work. This is precisely where the following five use cases come into play.

Reducing Routine Tasks

Recurring tasks such as writing minutes, logging to-do items or coordinating follow-ups take up a lot of time. Webex can help here by automatically transcribing meetings and generating summaries.

In a pilot project with a client, we observed that this significantly reduced the time spent on follow-up work. This is evident in three specific ways:

  • Less manual work involved in recording data
  • Results available more quickly
  • Less time spent on follow-up coordination

The automated summaries can also be imported directly into project management or knowledge management systems, thereby significantly reducing the amount of repetitive work.

Making Meetings More Structured

Unstructured or lengthy meetings are often a bottleneck in projects. Webex helps by making content available in advance, highlighting key points and automatically integrating documents.

Internal projects show that even small reminders about the agenda or relevant background information can significantly improve focus. Discussions lead to decisions more quickly and organisational distractions are minimised.

Gaining Visibility Into Usage

Managers and IT staff need an overview of how the platform is being used. Webex Control Hub provides key metrics, such as the number of meetings, features used and system utilisation.

Internally, we use these insights, for example, to:

  • to identify trends in platform usage,
  • to plan capacity more effectively and
  • to optimise processes in a targeted manner.

And all of this at an aggregate level – without analysing individual employees.

Increasing Adoption

Technology only works if it provides tangible support to employees. Webex streamlines work processes through context-sensitive suggestions, reminders and task notifications. Our experience shows that new features are adopted more readily when their rollout is actively supported by change management. Pilot groups, targeted training, feedback sessions and accompanying communication initiatives help to build long-term adoption and ensure the features are put into practice.

Keeping Security and Governance Under Control

Security is paramount, particularly in regulated industries or KRITIS environments. AI-powered features in Webex can monitor access rights, verify compliance and identify risks at an early stage.

Customer projects consistently demonstrate that transparent governance via the Control Hub is crucial for ensuring both security and productivity. IT teams maintain an overview without restricting teams’ workflows.

AI has long since arrived in Webex and is a tangible tool for more productive collaboration. When used correctly, it helps teams run meetings more efficiently, automatically summarise content and keep better track of decisions. However, a targeted rollout is crucial. Not every AI feature automatically adds value. Companies should therefore use pilot phases to assess which applications – such as meeting summaries, transcription or task extraction – actually fit into day-to-day working practices.

The combination of a structured rollout, change management and continuous optimisation ensures that AI is not merely available, but actively utilised. This results in a measurable productivity gain for both teams and IT alike.
